We are looking for a Studio Administrator to work within our admin team, providing support to our design teams. This is an exciting and varied position and is an excellent opportunity for growth and development for the successful candidate.
The ideal candidate will need to be friendly, approachable, punctual, and confident in their communication within the studio and with clients during telephone calls and visitors to the office.
Experience Required
: College leaver or 1 year experience/2nd jobber.
Role and Responsibilities
Welcoming visitors to the Studio.
Answering incoming calls, taking detailed, accurate messages, where necessary.
Arranging and managing appointments and day to day tasks for the design teams.
General administrative task and ad-hoc secretarial duties - proof reading and editing documents.
Help build and maintain client and supplier database.
Liaising with suppliers on orders and invoicing and chasing information as required.
Booking meeting rooms and organising refreshments.
Booking travel and all logistics related to projects.
Keeping and managing the office supplies, ensuring all stock is up to date and ordering more when necessary.
Maintaining, updating and cataloguing the archive for all 3D projects.
Uploading articles/newsletters to LinkedIn and website.
Uploading to and maintaining Instagram.
Ordering samples, putting together sample schedules for tracking and maintaining sample boxes for projects.
Setting up procurement, FF&E schedules, arranging RAMS and scheduling deliveries.
Organising CPDs for the team and tradeshow/events lists.
Diary management, setting up Teams links and scheduling meetings.
Essential Requirements
Confident with Microsoft Office and Gmail.
Excellent telephone manner.
Fluent written and verbal communication skills.
Strong organisation skills.
Fast learner.
Personality Profile
Extremely organised.
Excellent attention to detail.
Uses initiative.
Comfortable working both individually and as part of a team.
We will provide all training relating to our project administration and management software.
Job Type: Full Time based in our Clapham Studio.
Where You Will Work
