Job Description

We are a leading arts charity and one of the largest workspace providers based in London. The charity aims to support artists and makers, promote the arts, and educate the public in the arts. We support over 800 creative tenants within 11 buildings across 6 London Boroughs and manage a varied and exciting calendar of art exhibitions and events.

To achieve these goals, we develop and manage affordable studio spaces across the capital for fine artists; gallery and hire spaces for exhibitions and creative programming; and desk spaces for the creative industries. We also manage a programme of events supporting artists and makers across our workspaces including open studios, project spaces, and business support sessions and mentoring.

to join our team as a

Team Assistant & Data Researcher.



This varied role combines

General Office Administration,

Data Research

and

Arts Project Support

. It's an excellent opportunity for someone with a background in the arts to gain hands-on experience across multiple aspects of projects operations, while working closely with other creative professionals.

You'll be the welcoming face of the organisation -- greeting visitors and managing daily operations -- while also assisting with the planning and delivery of art projects and conducting research into opportunities across the art and development sector.

You will be self-motivated and organised with strong written communication skills and attention to details. The ideal candidate will be engaged with and interested in arts and culture and seeking to learn new skills in an arts charity workplace. You'll be able to help support a large community of artists and creatives across London; learn quickly and be exposed to a variety of projects within a small team.

The successful applicant will be a multi-skilled, experienced, self-motivated, enthusiastic, creative professional or skilled graduate with very strong communication skills, with proficient IT skills, experienced using client databases and a team player.

Key Responsibilities



General Office administration with Front of Desk responsibilities



General Office Admin &Team Assistance, including greeting and welcoming visitors, answering and directing phone calls, responding to general enquiries by email in a friendly and professional manner. General administration-office management and office maintenance as needed - including maintaining office supplies and inventory, ordering drinking water etc. Manage the reception desk: handle incoming calls, route enquiries, take messages, and maintain the visitor sign-in system. Ensure the reception area and public spaces are tidy, well-presented, and stocked with visitor information and materials. Handle incoming and outgoing post, couriers, and deliveries. Provide general administrative support -- data entry, filing, and assisting with general tenants / office queries.

Data Research



Conduct comprehensive research using various methodologies to gather data in the industry Research various online outlets, platforms and online sources to gather relevant data Collaborate with team members to ensure data accuracy and consistency Collect data from various online sources accurately and efficiently. Process and organize collected data in a systematic manner. Archive data securely and maintain organized records. Collaborate with cross-functional teams to understand their research needs and provide actionable insights. Stay updated on industry developments and competitor activities to inform research efforts.

Arts Project Support (occasionally)



Assist the Exhibitions Director with the planning and delivery of arts projects and events, including scheduling, liaising with artists, coordinating logistics for installation/de-installation, and communicating with partners, councils and suppliers. Help set up and support exhibition openings, open studios, special arts projects, PV's events, and similar events. On occasion during busy periods, opening of new buildings or staff absence, to support hosting viewings of the studios to prospective tenants Work with the Lettings, Maintenance & Hire Gallery teams to prepare gallery and public spaces, liaising with art handlers, technicians, or installers as required. Assists with ad hoc art projects

Essential Skills & Experience:



A recent

graduate in Fine Art, Art History, Curating, or a related field

, or equivalent experience in the arts sector & admin support for 2 years. Excellent verbal and written communication skills, with confidence interacting with the public and colleagues at all levels. Strong organisational and administrative abilities; able to manage multiple tasks and deadlines. Proficient in Microsoft Office (Word, Excel, Outlook) and Google Workspace and comfortable learning new digital tools and systems. Experience in using tools like Apollo or Rocket reach is desirable A proactive, professional, and friendly approach, providing a positive first impression for visitors and collaborators. Demonstrated interest in contemporary art, exhibitions, and the creative industries. Previous experience in a

front-of-house

gallery

, or

arts administration

role. Experience supporting exhibitions, events, or creative projects in an arts or cultural organisation. Research experience (academic or professional) -- confident compiling and presenting concise information. Familiarity with visitor experience, evaluation tools, or audience engagement in the arts. Flexibility to work occasional evenings or weekends during exhibition openings or events. Strong attention to detail and organisational skills to manage multiple projects simultaneously. Ability to think laterally and approach problems from different angles Advanced knowledge of Microsoft Excel Proficiency in market research techniques and methodologies Ability to work independently as well as collaboratively within a team environment.
