Reporting to: Business Manager, but supervised by the Board Governance Coordinator.





Primary Purpose of Job:





To support the Operational Planning Performance team and provide an efficient and effective general administrative and secretarial support service. Provide technical input interface with maintaining relevant records. This role will be responsible for supporting the Governance Admin team, providing an efficient and effective general administrative and secretarial support service.


Key Deliverables:





Key deliverables for this role include diary management for members of the Governance Admin as well as all of the Directors supporting their EA/PAs, organising and taking minutes for and setting agendas for team meetings and training sessions, booking travel and hotels as required, supporting with low level purchasing where required. This role will help grow our governance function through the creation of governance monitoring tools including board training, paper review and support directly with board meetings for incoming TOCs and as such assist in the development of DFTO maturing. Broader office management tasks, locker setup, keeping cupboards tidy and general wider office support. The Board Governance Coordinator will support the Team Organiser with the intent to upskill in key areas such as minute taking and meeting support.


Key Responsibilites:




Undertake general office administration duties including control of all post, co-ordinating office supplies and administrating the distribution of all key equipment including vulnerable assets such as mobile telephones, IT equipment; make necessary returns. Arrange travel, hotels and transport as requested for the team. Organise meetings and the production, collation and dissemination of documentation for and resulting from them. Take minutes when required and follow up actions from the meeting. Provide a consistent in-person presence on behalf of the team delivering excellent customer service levels. Provide communications to the team, including sending messages as required. Maintain an efficient filing system paying particular attention to records of standing meetings, statutory records and authorisations. Utilise financial and procurement systems and act as Local Purchasing Agent (where directed) by ordering stationery and other office consumables as required. Report team problems e.g. IT and office facilities and monitor response. Undertake administrative tasks as directed including technical literature searches for the team. Undertake the role in a way that is consistent with, and reinforces, DFTO's values. Supporting the Business Manager and Board Governance Coordinator in governance activities including the creating and upkeep of the Document Review Matrix; ensuring upcoming document reviews are factored into their appropriate meetings. Act as a key support for the wider EA/PA network, sharing resources, coordinating team-wide logistics. Serve as a central point of contact for operational duties, including any equipment defects, collections/send-off of equipment and general business support processes.

Other tasks the role will support on include:




Subscription management, including Adobe and providing the Finance team invoices etc as and when required Training - Support the Board Governance Coordinator in booking and coordinating training for NEDs and Newco's for OnBoard and internally for Monday.com. Travel coordination Date and training tracking for management, board and the wider team Equipment support (including ordering and IT cohesion) Wider Non-Executive Directors support including pass renewals and meeting room bookings (when traveling to Waterloo) Joining role between the wider DFTO team with IT and Waterloo support team to ensure any equipment (including printers) and IT tickets are logged and chased up to ensure minimal disruption. Wider team support for meetings papers to ensure appropriate governance and steps have been conducted prior to submission, for example direct support to me, and MP for paper collating for executive meetings in the build up to board meetings.

Knowledge, Skills, Experience Technical Qualifications:



Essential



Ability to multitask Experience in appropriate IT packages Good time manager Strong organisation skills Good communication skills (verbal and written) including excellent telephone manner Experience of working with a team.

Desirable



Sound railway background and knowledge of railway geography Recognised qualification in keyboard associated skills and office management techniques Knowledge and experience of records management

Annual Leave: Starting at 25 days and rising to an additional day per year of service completed within the first 5 completed years up to a maximum of 5 additional (30 days).
