Transport Desk Controller

Job Description

OVERVIEW:



We are a family run business based in Walton-on-Thames, KT12. We are looking to increase our Transport Desk Operations department.

The role will be to coordinate and monitor daily HGV operations, ensuring vehicles are scheduled efficiently, drivers are fully briefed, compliance is maintained, and customer deliveries are executed safely and on time. The Transport Controller plays a key role in keeping operations smooth, compliant, and cost-effective.

Key Responsibilities:



o Fleet Coordination

- Allocate vehicles and drivers to routes based on workload, delivery windows, and legal driving hours.

- Monitor live vehicle movements using telematics systems (e.g., Tachograph, GPS tracking).

o Driver Supervision & Support

- Brief and debrief drivers at the start and end of shifts.

- Handle real-time driver issues such as delays, breakdowns, or route changes.

o Delivery Scheduling & Customer Service

- Ensure timely deliveries and collections according to customer requirements.

- Communicate proactively with customers and resolve any delivery issues or changes.

o Compliance & Documentation

- Ensure drivers operate within EU Drivers' Hours and Working Time Directive regulations.

- Verify and file transport paperwork including delivery notes, PODs, and defect reports.

o Vehicle Utilization & Route Planning

- Maximize vehicle usage and backloads to reduce empty mileage and fuel costs.

- Support planning team in optimizing routes based on traffic, weight limits, and timing.

o Issue Resolution

- Respond to breakdowns, delays, or incidents, coordinating with recovery or support teams as needed.

- Escalate major incidents to the Transport Manager promptly.

Experience



Proven experience in a similar role within a logistics or supply chain environment is highly desirable, but not essential. Strong & clear leadership skills with the ability to motivate and manage effectively. Excellent communication skills, both verbal and written, with the ability to convey complex financial information clearly. Good level of computer literacy, particularly in Microsoft Office applications. A strong customer service orientation with a commitment to enhancing client satisfaction through effective financial practices.
