Job Overview


We are seeking a dedicated and experienced Transport Manager to oversee our logistics operations. The ideal candidate will be responsible for ensuring the efficient transportation of goods, managing a team, and optimising supply chain processes. This role requires strong leadership skills, excellent customer service abilities, and proficiency in various IT applications, including Outlook and Excel.

Responsibilities



Manage and coordinate all transport activities to ensure timely and cost-effective delivery of goods. Develop and implement logistics strategies to improve operational efficiency. Supervise and lead a team of transport staff, providing training and support as needed. Maintain effective communication with customers to ensure high levels of satisfaction. Monitor transport performance metrics and prepare reports for management review. Collaborate with supply chain teams to optimise inventory levels and reduce costs. Ensure compliance with all relevant regulations and safety standards in transport operations. Utilise IT systems to track shipments, manage schedules, and maintain accurate records.

Requirements



Proven experience in logistics or transport management is essential. Strong leadership skills with the ability to motivate and manage a team effectively. Proficiency in Microsoft Office applications, particularly Outlook and Excel. Excellent organisational skills with a keen attention to detail. Strong understanding of supply chain processes and logistics principles. Exceptional customer service skills with the ability to communicate effectively in English. A valid driving licence is preferred but not mandatory. IT aptitude with the ability to adapt to new software systems quickly.

MANAGING THE OPERATION



You will be responsible for overseeing, auditing, and regularly reviewing compliance systems to ensure they are effective and fit for purpose. This includes developing appropriate policies and clearly communicating them to all relevant staff and stakeholders.

You must investigate any compliance issues, such as prohibitions, MOT failures, or driver infringements, making necessary amendments to systems and rectifying any problems identified.

You will also manage the operator's licence, ensuring any changes are promptly reported to the Office of the Traffic Commissioner (OTC) in accordance with legal requirements.

It is essential to stay up to date with changes in legislation, industry standards, and regulatory requirements.

MANAGING DRIVERS



Driver Administration



Ensure drivers hold the appropriate licence for the vehicles and duties they are assigned. Carry out regular driving licence checks, typically every three months, and keep accurate records. Monitor and manage Driver CPC (Certificate of Professional Competence) qualifications. Record and retain drivers' hours records for a minimum of 12 months. Record and keep working time directive records for at least 24 months. Provide the correct documentation for drivers, including for international journeys when applicable.

Driver Management



Ensure compliance with drivers' hours regulations and working time directives. Enforce correct use of tachographs, including accurate logging of driving times and rest periods. Download and securely store tachograph data from drivers' cards and vehicle units. Maintain a clear and auditable record of all drivers' hours. Ensure all drivers are suitably trained for their roles - for example, with ADR certification where required.

Driver Operations



Oversee the vehicle defect reporting process, ensuring reports are acted upon and properly recorded. Monitor and ensure drivers are taking the correct rest breaks and adhering to legal rest periods.

MANAGING VEHICLES



Vehicle Administration



Maintain vehicle maintenance records for a minimum of 15 months. Ensure vehicles are correctly registered under the operator's licence and display the appropriate O-licence discs. Verify that the number of vehicles specified on the licence is adequate for operational needs. Ensure the correct vehicle is used for each task, and that all necessary notifications - such as height markers, payload limits, and tachograph calibrations - are accurate and up to date. Oversee vehicle insurance documentation. Maintain a comprehensive maintenance planner, ensuring 6-weekly safety inspections (PMIs), annual MOTs, and any calibration or inspection dates are scheduled and visible.

Vehicle Management



Ensure the roadworthiness of all vehicles and trailers, removing any unfit vehicles from service. Operate a robust system for defect reporting and regular safety inspections. Liaise with both internal and external maintenance providers. Implement effective vehicle security measures.
