Purpose of the Role
EIFF Venue Coordinators support the smooth running of Festival screenings and events that take place at partner venues. Based between the Cameo Cinema, Filmhouse, Vue Omni, National Galleries of Scotland and our Festival Hub at Tollcross Central Hall, they will be responsible for ensuring the smooth delivery of screenings and events taking place at these venues and acting as the main point of contact between EIFF, venue staff/Fringe venue partners, Front of House and Box Office staff.
Supported by the Programme Manager, Venue Coordinators will work closely with venue staff to coordinate and stage-manage screenings and events, including liaising with guests and hosts and onsite technical support; troubleshooting any issues arising in advance of, or during, EIFF programme delivery; supporting staff in their work at the
venue, and raising any technical or production related issues with relevant members of the wider Festival team.
Venue Coordinators work within the Programme Planning team, including Programme Coordinators and the Submissions team, and in collaboration with the Technical team. The Programme Planning team is responsible for researching and securing films, planning and scheduling screenings and events; ensuring that all other parties have the information, instructions, materials and additional support they need to implement the programme effectively, and production managing live events. Programme Planning is EIFF's central operational control unit.
Responsibilities
? Assist partner venues in the smooth running of EIFF screenings and events, including overseeing any set up requirements and stage-managing introductions, Q&As and panels;
? Support technical teams onsite, including INDY Cinema Group and inhouse technical staff;
? Ensure venue staff are fully briefed on all activity taking place at the venue, including any key changes or updates to the overall schedule;
? Support with Front of House management including responding to customer queries and ticket scanning, as required;
? Oversee and support 180 Front of House and Box Office staff on their shifts at the venue, ensuring all are appropriately briefed and supervised;
? Work with EIFF colleagues to ensure smooth coordination and delivery of all Festival activity taking place at the venue, including liaising with guests and hosts;
? Stage manage all events, including stage set-up as instructed on daily callsheets, including chairs, mics etc, cue projection for show-starts, and time managing Q&As;
? Manage seat reservations as required for attending guests, access seating requests, as required etc;
? Work with EIFF colleagues and venue staff to troubleshoot any issues in advance of and during EIFF programme delivery;
? Actively communicate key technical and production information and updates to relevant EIFF colleagues as required;
? Be aware of health and safety requirements and support venue staff in ensuring these are met, as required;
? Ensure any signage for seat reservations is positioned in accordance with the schedule in advance of doors opening, including liaising with Guest Team over any last-minute changes;
? Support Front of House staff at the venues in distributing and collecting Audience Award ballot slips from audiences at Competition film screenings. Liaise with the
Programme Planning team over efficiently and securely pass these ballots on to be counted;
? Attend EIFF Morning Meetings, as required by the Programme Manager;
? Contribute to the successful delivery of EIFF.
General
