Client & Operations Coordinator

As we continue to expand into multiple wedding service areas, this role will also grow, offering increased scope, variety and responsibility for the right person.

Role Overview


As a key member of our operations team, you will be the first point of contact for our clients, guiding them through the booking process and ensuring everything runs smoothly leading up to their wedding day.

You will handle day-to-day administrative tasks, liaise with clients, prepare contracts and manage bookings. This is a varied and rewarding role that requires excellent communication, attention to detail, and a calm, proactive approach.

Due to the nature of weddings, occasionally time-sensitive issues or emergencies can arise. You will be fully trained to handle these situations confidently and professionally, ensuring the best outcomes for our clients and team.

Key Responsibilities



Respond to client enquiries via email and phone in a timely, professional and helpful manner Provide clear, accurate information about our services and guide clients through the booking journey Prepare and send client contracts and invoices with attention to detail Accurately input and update booking information in our internal systems Coordinate wedding logistics and ensure all bookings align with client expectations Resolve client concerns or complaints with empathy and a solution-focused approach Work closely with the wider office team to ensure smooth day-to-day operations Follow up with clients during the booking process and manage changes or additional service requests Support urgent or last-minute bookings as needed, applying training and problem-solving skills to resolve time-sensitive situations

What We Are Looking For



Previous experience in an administrative, client-facing, or coordination role, ideally within events or hospitality Excellent written and verbal communication skills Strong organisational skills with exceptional attention to detail Confident and professional telephone manner, with the ability to remain calm under pressure Proficient in Microsoft Office (Outlook, Excel, Word) A proactive, positive attitude with a willingness to learn, adapt and contribute to team success Knowledge of the wedding industry is a bonus, but not essential Excellent communication, negotiation, and relationship-building skills, able to work confidently with internal teams, suppliers, and freelancers A collaborative mindset with a genuine passion for delivering outstanding client experiences and supporting colleagues Confidence in handling client issues or escalations, using sound judgment and empathy to achieve the best outcome Strong analytical and problem-solving abilities, supporting calm and effective decision-making in high-pressure situations Organised, adaptable, and able to multitask across different priorities and functions Digitally fluent, with working knowledge of tools such as Outlook, Slack, CRMs, and online scheduling platforms Commercial awareness and an understanding of how efficient operations contribute to profitability, reputation, and client satisfaction

Working Hours



Thursday:

09.00am - 5.00pm

Friday:

09.00am - 5.00pm

Saturday:

09.00am - 4.00pm

Sunday:

09.00am - 4.00pm

Monday:

09.00am - 5.00pm
Weekend availability is essential. Weekday hours can be adapted to suit individual circumstances. A flexible approach and willingness to work additional hours during peak periods is appreciated.
