On behalf of Arup, we are looking for a

Workplace Experience Assistant

for an

initial 6-month contract

based

onsite in Birmingham, 5 days per week in the office.



Candidate Profile: Key accountabilities, skills & experience

Purpose of the role:





This is an exciting opportunity to join the Workplace Facilities Management Team in Birmingham as a front-of-house professional responsible for creating a welcoming environment for both visitors and staff. The role provides essential support to the Workplace and Facilities Management team and plays a vital part in ensuring a high-quality experience within the Arup office.



You will act as the first point of contact for guests, provide administrative and coordination support, and help maintain smooth daily office operations.


What you'll do:




Provide visitor reception and front-of-house services, ensuring excellent customer care. Register guests and staff and communicate Health & Safety procedures. Manage incoming and outgoing post, couriers, and taxi bookings. Answer and manage telephone calls, liaising with central telephony and handling queries efficiently. Coordinate meeting room bookings (via Condeco), refreshments, and AV/video conferencing setup. Liaise with IT and AV teams for technical support. Provide catering and hospitality for visitors and meetings. Maintain and order stationery and office supplies. Report maintenance or equipment issues promptly. Support data entry and documentation within Arup systems. Assist Workplace and Facilities Management colleagues as needed. Perform First Aid and Fire Marshal duties (training provided if required).

The skills you'll need:




Excellent customer service and communication skills, with a professional and welcoming manner. Strong knowledge of Microsoft Office Suite and ability to use office systems efficiently. Diligent, detail-oriented, and proactive approach to daily tasks and problem-solving. Flexible, cooperative, and positive attitude with a strong sense of teamwork. Experience with booking and facilities systems such as Concur, CAFM, or Condeco. Trained or willing to be trained in First Aid, Fire Marshal duties, and Manual Handling. IOSH Managing Safely qualification or willingness to complete it as part of role development.
