Workplace Experience Assistant

for an initial

6-month contract

based in

Glasgow,

with the strong potential to go

temp-to-perm.



Purpose of the role



This role sits at the heart of Arup's Glasgow office, providing a professional, welcoming and organised "front-of-house" service for staff, visitors and clients. As a key member of the Workplace & Facilities Management team, you will create an exceptional welcome experience, support day-to-day office operations and ensure smooth running of reception, meeting rooms and administrative services.



This opportunity offers exposure across the business and the chance to develop knowledge of Arup's systems, ways of working and internal networks.


What you'll do




Deliver a professional front-of-house reception service, welcoming employees and visitors. Register guests, communicate Health & Safety procedures and ensure an excellent customer experience. Manage incoming calls, take accurate messages and support callers proactively. Coordinate incoming and outgoing mail, arrange couriers and book taxis when required. Oversee meeting room bookings, refreshments and AV/VC setup via Condeco. Liaise with IT and AV teams to support equipment and meeting requirements. Prepare and maintain meeting rooms, ensuring they are tidy before and after use. Manage catering provisions for internal meetings and visitors. Input and update information within Arup systems as required. Order and maintain office and stationery supplies. Report facilities or maintenance issues promptly to the relevant teams. Support Workplace & FM colleagues with ad-hoc office administration. Carry out First Aid or Fire Marshal responsibilities where trained (training can be provided).

The Skills you'll need

Strong customer service skills, ideally gained in a reception, front-of-house or hospitality role. Confident using MS Office and able to learn internal systems quickly. Professional, polite and approachable manner. Excellent attention to detail and strong organisational skills. A flexible, positive and "can-do" attitude.

Desirable:



Experience with booking systems such as Condeco, Concur or CAFM tools. First Aid or Fire Marshal training (or willingness to undertake). IOSH Managing Safely (or interest in gaining it). Experience in a hotel reception or similar guest-facing environment is a strong advantage.
