Who we're looking for



We are seeking a highly organised and detail-oriented Workshop Administrator to support the smooth running of our busy workshop. The right candidate will be proactive, efficient, and able to manage multiple priorities at once. You'll be confident in handling administrative tasks, liaising with staff and external partners, and ensuring compliance processes are followed at all times.

What you'll be responsible for



As Workshop Administrator, you will play a vital role in keeping workshop operations running smoothly behind the scenes. Your support will enable the workshop team to focus on delivering high-quality maintenance and repair work efficiently and safely. Your responsibilities will include:

Administration Support



Maintain and update workshop records, including service schedules and equipment maintenance logs. Ensure all paperwork relating to repairs, inspections, and compliance is accurately completed and filed. Support the procurement process by raising purchase orders and tracking stock or parts where required.

Work Scheduling & Coordination



Assist the Workshop Manager/Foreman in scheduling and prioritising maintenance and repair work. Coordinate effectively between workshop staff, drivers/operators, and external service providers to minimise downtime.

Health & Safety Compliance



Maintain accurate records of safety inspections, training sessions, and compliance reports. Ensure health and safety documentation is kept up to date and easily accessible.

Communication & Reporting



Act as the first point of contact for internal and external workshop queries. Prepare and distribute daily, weekly, and monthly reports to support management decision-making.

The Person - Essential



Previous experience in an administrative role, ideally within a workshop, engineering, transport, or similar environment.

o Strong knowledge of Microsoft Office packages (Word, Excel, Outlook) and experience with CRM or similar systems.

o Excellent written and verbal communication skills.

o Proven ability to multitask, prioritise workload, and meet deadlines.

o High attention to detail with strong organisational skills.

o Customer service experience, with the ability to deal professionally with internal and external stakeholders.

Desirable



o Experience in a workshop, fleet or service environment.

o Knowledge of Health & Safety compliance processes.

o Experience preparing reports and analysing data.

o Understanding of procurement or stock control processes.

o A proactive and solutions-focused approach to problem solving.
