Job Description

The above Position has arisen in Jesus House, City of God Aberdeen AB10 6BT Administration Office. We are currently looking for an individual who is a self starter , talented, motivated, trainable , works well under pressure and able to deliver on time. The candidate must be dedicated to the works and witness of the church by using their God's giving talents, applying biblical principles in the administration field and serve in a staff position to advice and assist the church leadership



Please note only shortlisted candidate will be scheduled for interview and successful candidate will be required to start work immediately.



Purpose:

To be an effective central coordinator for information, communication and general administration in the church office.



To be the public face of the church and represent Christ in the discharge of their daily duties while dealing with church members, Volunteers, general public and their enquiries.



General Administrative Tasks:*

Support administrative tasks as requested by the Senior Pastor and Parish Pastor

Support the day to day running of the church office and the church administrative activities.

Deal Professionally with written/ e-mails /telephone enquires and direct or signpost as necessary

Produce and distribute electronically, church weekly activities

Distribute Sunday, midweek and other special event's order of service among officiating ministers

Supervise and manage team of church volunteers, support staffs and vendors

Advice and assist Church leadership

Be Part of the church's team, negotiating purchases, signing of new contract and review of existing contracts with vendors and their management

Conscious and committed to sustainable long term visionary planning (Facility , Scheduling financial and Cost savings)

Attend and take minutes during meetings ( Staff, leadership and Board Of trustee)

Participate in Scheduled Office Prayers

Liaise with leadership on Rota preparation, distribution, contacting and sending out reminders to those on rotes

Maintaining the church data and record keeping for all church members (New and Old) such as first timers, new birth, trainings, baptismal , new births in church . child birth, Death , naming and baby dedication

Ensure and Liaise with relevant team that church members are celebrated during their special moments such as birthday, wedding anniversary, baby dedications, graduations and new births

Maintain Proper filling, register and storage of all church documents , assets and properties

Maintain and ensure Confidentiality and professionalism

Ensure proper administration, handling of keys and access into the church building facilities

Ensure Safety of Church Properties and its existing assets

Ensure compliance to Health Safety and Environment in a Sustainable manner

Liaise, Support and assist administratively the various HOD's their Departments, leaders, Deacons and Pastorate ensuring they achieved their plans and goals

Liaise with the service planning team, ensuring all is set for a wonderful service ( this includes sanitation, lighting, Heating or ventilation , i.T, those ministering are ready, all the department are working in sync with each other)

Carry out risk assessment during our pre-service meeting and proactively liaised with the relevant persons in order to forestall any disruptions

Ensure Church vehicles have up to date insurance, MOTs and Tax

Ensure Church Vehicles are road worthy and drivable at all times

Work closely with the church Finance team, and treasurer

Liaise with the central and regional offices , mostly submitting of MPR and other compliances issues.

Point of contact for governmental Obligations and compliance such as HMRC, Pension, Aberdeen City Council , HSE .

Ensure effective workings with other administrative church office team members

Carry out daily, weekly and Periodic inspections of Church building and its facilities

Coordinates Guests ministers Visit and other logistic arrangement

Actively engage and drive in Organisation Corporate Social responsibilities and community engagement in Line with its Charitable objectives

Focal Point and main contact for the Charity's social enterprise

Part of the team responsible for the management and running of the Hilton Convention centre ( Social Enterprise )

Undertake other duties that may be reasonably be requested or assigned by your line manager


Occasional Office Tasks :

Ensure Effective administration of Marriage request from initial to register entries and certificates and to raise with other relevant persons . Also arrange Banns of marriage are read and certificate issued.

Liaising with Minister in charge of baptism and Ensure administrations of Baptismal request, booking of baptismal venue.

Ensure booking of baby births, naming and dedication

Ensure effective booking administration and bookings for funerals


Information and Publicity Tasks :

Keep Church leaflets, Posters, Publications, Envelops, Printed Stationeries are tide and up to date

Liaise with Local authorities for permits to carrot church activities, programs and event in city venues


Website/ IT/ Communications: Tasks

Review and Liaise with relevant person to update church website content, calendar, news items ( Relevant training will be provided

Set up, maintain and manage church group/bulk list and posting on WhatsApp groups or church apps.

Ensure church events are advertised on Facebooks and twitter accounts

Effective Usage of various softwares and Microsoft operating packages such as Outlook, Word, Power Point , Excel in day to day


Trainings :

Attend trainings and Courses in Line with your CPD as approved by your line manager

Attend Central Office Administrations, IT/ Communications , Customers service, HSE and Compliance related training days and events.

Must be organised, able to prioritize, and handle multiple tasks in a fast-paced, results-driven environment

Must be a self starter and a team player with the ability to assume leadership where and when necessary

Excellent interpersonal Communication skills, customers services

Proficient and excellent usage of Microsoft operating packages ( Excel, Word, and Power point )

Posses a Bachelor's degree or equivalent certificate with 2-3 year experience

Open to training and learning new skills

Pay: 25,000.00-31,900.00 per year
