Monday to Friday from 08:00am to 17:00pm (occasional weekend and night working will be required to ensure the efficient functioning of the role)
Merano Residences is a prestigious development comprising 40 apartments, an office unit and a cafe. The Management Board wishes to appoint a professional manager to control, improve and take ownership of the services function required to achieve and maintain the required level of excellence.
The successful candidate will be an experienced Building Manager with a proven track record. They will be enthusiastic, goal-orientated, highly organised and have strong interpersonal skills including a professional work ethic.
Role and responsibilities:
To manage and oversee the smooth day-to-day running of Merano Residences in the following areas:
Building:
Maintaining a safe and secure environment for residents and visitors within the building interior and exterior
Managing building cleaning, maintenance and repairs, overseeing their execution, inspection of completed jobs and authorising contractor invoices.
Conducting regular inspections of the building interior and external grounds for signs of damage or wear and preparing reports.
Maintaining records of defects, damage and repairs required to the building/grounds, or equipment, or services and ensuring that appropriate remedial action is taken in a timely and cost-effective manner.
Ensuring the building, grounds and equipment comply with applicable Board policies, regulations, and standards.
Maintaining close liaison with the contractor for M & E Services - Holdfast.
Managing building interior, exterior and grounds cleaning and housekeeping activities.
Monitoring building services, repair & maintenance budgets, including service contracts renewal dates and costs.
Liaising with existing and new contractors/service providers.
Liaising with the Urang's Property Manager and his team.
Safety & Security:
Maintaining the safety, security, and privacy of residents by strict adherence to the Management Board's visitor policy and Lease terms.
Managing the IT, telecoms, door-entry and CCTV systems and liaising with the nominated consultants.
Ensuring the building, grounds and safety equipment comply with applicable health & safety and fire regulations and standards.
Conducting regular inspections of the building and grounds for potential safety and security hazards and preparing reports.
Preparing and carrying-out emergency and fire testing drills and procedures.
Managing emergency evacuation plans and procedures.
Assisting with emergency response evacuations.
Residents
Maintaining the safety, security and privacy of residents, and ensuring the peaceful enjoyment of their home by enforcing strict adherence to the Management Board's visitor policies and Lease terms.
Responding to inquiries and requests from residents, within the framework of the Lease and Management Board resolutions.
Investigating and resolving complaints/problems from residents, within the framework of the Management Board resolutions and Lease terms.
Maintaining records of Leaseholders, tenants and relevant letting agents.
Managing and monitoring residents 'move-in' and 'move-out 'activities.
Prepare communications in the form of a Resident Newsletter, as required.
Staff:
Managing and supervising Front-of-House staff, distributing tasks and responsibilities based on the skills, experience and workload capacity.
Managing and overseeing scheduling of staff training with Urang's HR and the Property Manager including designing and implementing a clear induction process for new team members and Temporary/Agency Staff.
Managing staff compliance with Merano's SOP.
Providing guidance, mentorship and support to the team to help the succeed in their roles. This may involve coaching, training and providing resources as needed.
Evaluating staff performance with Urang's HR and the Property Manager, establishing clear, achievable objectives that align with the management's mission and vision.
Monitoring progress of individual team members and the team as whole toward achieving goals. This may involve regular check-ins, progress reports and will form part of performance evaluations.
Facilitating open and transparent communication within the team, as well as with the Board, Urang's HR and Property Manager. This includes sharing important information, providing updates on projects, and soliciting feedback from team members.
Encouraging and motivating team members to perform at their best, recognizing and rewarding their achievements and fostering a sense of positivity and teamwork.
Identifying and addressing any issues or conflicts that arise within the team, working to find solutions and maintain a positive and productive work environment.
Establishing and supervising monthly rotas for permanent and temporary staff.
Managing staff attendance and time-keeping records including supervising and approving of staff holidays with Urang's HR.
Managing and training of Temporary/Agency Staff.
Identifying opportunities for process improvement and innovation within the team, seeking ways to increase efficiency, quality and overall effectiveness.
Administration:
Supervising IT equipment and liaising with the nominated IT consultants.
Managing the Daily Building Report - Day/Night Shift.
Managing the Handover Log system - Day/Night Shift.
Managing the Visitor Registration process - Day/Night Shift.
Managing the Parcel Receipt, Logging and Delivery system.
Upkeeping of the Merano SOP system.
Reviewing and ordering consumables for the office and staff facilities.
Reporting to the Management Board on monthly basis on all issues concerning the Building, Residents, Staff, Contractors and Service matters which remain unresolved at the month-end.
Required Skills:
Bachelor's degree in a related subject, or similar professional qualification.
Excellent customer service skills.
Excellent verbal and written communication skills e.g. report and letter writing.
Detail orientated with strong analytical thinking and problem-solving skills.
Good organisational and project management capability.
Experience in negotiating service and supply contracts.
Knowledge of relevant laws, regulations, and standards for the industry.
Leadership skills and understanding of HR Practices and Procedures in the capacity of a Team Leader
Proficiency with MS Office - Excel, Word, PowerPoint
While at least 5 years' experience as a Building Manager or in a similar role is preferred, candidates with other, but relevant experience, who can ably demonstrate the required skills and aptitude, will also be considered.
Salary Range:
50K per annum, to increase on successful completionof probation.
