Job summary
Casework Administrators play a key role in our reviews, providing accurate and timely support to casework groups and ensuring that we have the information and material necessary to carry out our investigations.
Each Casework Administrator works on a portfolio of cases, varying in complexity and conviction type, and is responsible for providing the administrative support vital for the conduct of the review - obtaining material from public and private bodies and then ensuring that it is returned complete at the end of a review, dealing with correspondence, speaking with applicants, and updating our digital case management system.
To be a successful Casework Administrator you must be positive, highly organised and able to juggle multiple tasks while maintaining accuracy and a keen eye for detail. We need someone who can be relied upon to build relationships and solve problems. In return, we offer you a unique perspective on the criminal justice system and criminal cases.
Job description
The purpose of the role is to provide administrative support to casework and thereby contribute to fulfilling the CCRC's purpose of finding, investigating and referring suspected miscarriages of justice.
Key Responsibilities and Tasks:
To provide administrative support on a portfolio of cases with minimal supervision, taking responsibility for the workload arising, ensuring that all work is carried out in accordance with CCRC policies and procedures and within agreed time frames, and using your initiative to determine and carry out any follow up procedures.
Setting up new applications, including entering case-related details into the CCRC's digital case management system and maintaining up-to-date case records.
Assessing new applications to determine application type; extracting and applying information from material obtained from other public bodies to ensure a case is prepared for review.
Dealing with telephone enquiries from applicants and other agencies in the criminal justice system, seeking advice and escalating matters where appropriate.
Replying to correspondence from applicants, their representatives and other interested parties, often including senior figures in the criminal justice system, seeking advice and escalating matters where appropriate.
Liaising with public bodies, including the police, courts and Crown Prosecution Service to obtain material under section 17 of the Criminal Appeal Act 1995. On occasion, negotiating with private bodies to obtain information relevant to a case. Creating and maintaining good working relationships with all parties and building on the CCRC's reputation for being efficient and effective.
Liaising with expert witnesses and court reporters to obtain quotations for their work in accordance with the CCRC's procurement policies.
Downloading material provided to the CCRC in digital format and creating electronic bundles of material.
Managing case closures, ensuring original material is returned to the appropriate source.
Sharing best practice in respect of case administration with other CCRC staff.
Carry out general administrative duties, such as data entry or taking minutes.
Any other tasks required or volunteered for in addition to role as above.
Person specification
Essentia Criterial:
Lead: At least one year's previous experience in an administrative role. Please note, candidates must possess this essential experience for an application to be progressed.
Competent in the use of up-to-date IT equipment and software packages, preferably Microsoft Office 365
Excellent interpersonal and communication skills, both written and oral, and a proven ability in sensitive call handling
Able to evidence your ability to work on your own initiative, without close supervision
Able to evidence your ability to follow detailed instructions, maintaining a high degree of accuracy, thoroughness and attention to detail
Able to organise and prioritise own workloads and work to tight deadlines
Able to work as part of a team to achieve positive outcomes and improve administrative processes
An understanding of and commitment to diversity and how it applies to this role
