Job Description

JOB PURPOSE



Providing Commercial Administrative support to ensure the accurate and timely compilation of quotations and Invoices. Responsible for the management of all OEM contracts & Key Accounts, inclusive of initiation, administration & development. Maximising any revenue opportunities as appropriate.

MAIN RESPONSIBILITIES AND DUTIES



Handle customer enquiries and ensure timely production of quotations for aircraft maintenance inputs, confirming all commercial, financial, and technical aspects are deliverable by Inflite. Accurately enter all quotations into the WINGS system and use MTL where applicable. Liaise with customers on any quotation queries prior to acceptance, including negotiating prices and ensuring any discounts are approved by senior management before being issued. Coordinate with Technical Services and Base Maintenance regarding any additional work requested by the customer, ensuring quotations are provided and approved before proceeding. Provide customer support upon acceptance of aircraft and act as the main liaison between the company and the customer, ensuring timely resolution of any issues. Attend production and planning meetings as required. Facilitate conference calls and host customer on-site meetings as necessary. Ensure adherence to the original quotation and scope of work, obtaining customer approval for any additional tasks outside the agreed scope. Oversee the customer representative role within WINGS and ensure timely customer responses to notifications and approvals of additional work or costs. Maintain and regularly update the quoting proposal register. Maintain and regularly update the contract register. Ensure accurate and timely input of data into all OEM warranty platforms, e.g. Embraer EEC, MSP, RR Corporate Care. Monitor WIP (Work in Progress) costs daily and ensure all adjustments and status updates are completed as required. Track spares ordering and work packs, ensuring all associated costs are captured, working closely with Stores, Purchasing, and other relevant departments. Liaise with the Head of Commercial where necessary regarding invoice approvals. Manage queries related to OEM or customer invoices. Identify all potential costs to ITJC and ensure management approval is obtained where necessary. Maintain and update commercial procedures, and develop new procedures when required. Undertake any other duties within your capability as directed by the company. Has disciplinary authority over the staff working within his/her area of responsibility To request and provide assistance to the Head of Maintenance To request assistance from other departments To propose additional trainings and procedures updates

QUALIFICATIONS & PREREQUISITES



Strong business jet maintenance & engineering management process knowledge of line, base, engineering and quality; Proven ability to provide effective management of resources;Good leadership skills and excellent customer interpersonal skills; Advanced level of written and oral communication skills with excellent interpersonal skills; Proven experience in a commercial or sales role within the aviation industry (preferred) Strong relationship-building abilities, agile thinking and excellent communication skills. Detail-oriented with a strong ability to manage multiple tasks and maintain high organisational standards. Proficiency with CRM software, Microsoft Office Suite, and financial tracking tools.

OTHER SPECIFICATIONS



Customer-focused with a strong sense of urgency, particularly in AOG scenarios. Ability to work collaboratively with cross-functional teams in a fast-paced environment. Analytical skills for evaluating costs, preparing accurate quotations, and ensuring precise invoicing. Flexibility to adapt to the dynamic demands of line and AOG maintenance operations.
