We're looking for an experienced

Events Coordinator

to join our growing events team and provide full-cycle support across our busy events programme.

You'll work closely with--and provide direct support to--our two events managers, helping to deliver a programme of high-quality, C-suite-level B2B events focused on the UK tech sector.

This is a delivery-focused, detail-driven role involved in every stage of the event lifecycle--from coordinating planning through to front-of-house support and post-event analysis.

You'll be involved in all aspects of event delivery--managing schedules and guest lists, liaising with key internal stakeholders from our research and business development teams, and working closely with colleagues in marketing who support event communications. You'll also coordinate with external suppliers, prepare event documents and collateral, and help ensure a smooth, professional experience for our guests.

You'll also have day-to-day responsibility for keeping event-related materials up to date across our platforms and communications channels. On event days, you'll play a key front-of-house role, supporting the full logistical running of the event as directed by the Events Managers.

This role is ideal for someone already working in a well-established event support position--someone who enjoys being the 'enabler', thrives at the centre of operations, is comfortable in a structured, fast-paced environment, and takes real pride in getting the detail right.

You'll need to be expert at managing multiple priorities, able to juggle tasks effectively, and stay focused and organised in a fast-paced environment--particularly when working across back-to-back events with overlapping logistics

What the role involves



You'll support our two events managers across the full lifecycle of each event. Key responsibilities include:

Managing the annual events programme calendar, as well as individual event schedules--tracking, updating, and actioning related tasks to deadline. Collating and maintaining guest lists and attendee records within our CMS and supporting Excel documents, and liaising with internal stakeholders (research and business development) to support the guest nomination process. Liaising with external suppliers to coordinate the production and delivery of event collateral, including design, print, signage, courier logistics, photography, and digital materials. Preparing a range of event documentation, including sponsor updates, speaker notes, briefing packs, run sheets, and presentations. Attending and supporting events--managing guest registration, acting as a front-of-house contact, and assisting with the smooth running of the event as directed by the events managers. Managing the upload and accuracy of information on the events section of the company website Managing the events communications calendar in liaison with the marketing team Managing the end-to-end preparation of marketing event mailing lists -- from data segmentation and manipulation to tagging for MailChimp compatibility Posting event content to social media in line with the comms plan Co-ordinating post-event processes including feedback collation, reporting, and team debriefing Supporting budget management by tracking spend, checking supplier invoices, and maintaining accurate financial records for each event, ensuring all costs align with agreed budgets and internal processes Responsible for preparing agendas and taking minutes for all events meetings Maintaining and improving operational processes that support consistent and efficient event delivery

What we're looking for



You'll have experience in events coordination or a similar operational support role, and be confident managing logistics and guest-facing delivery in a fast-paced setting. We're looking for someone who is:

Exceptionally organised and detail-oriented Comfortable juggling multiple deadlines and shifting priorities Proactive and resourceful--able to spot issues and resolve them independently Professional and confident when dealing with senior stakeholders and guests A strong communicator--clear, concise, and reliable and able to manage multiple stakeholders to secure any information needed. Able to 'manage up' effectively. Calm under pressure, particularly during live events Tech-savvy and highly proficient across systems and platforms including Excel, CMS/CRM tools, email marketing platforms, website content management, and PowerPoint--you'll be expected to use these daily and get the best out of them. You will actively be looking for ways to use our systems more effectively. Collaborative and team-minded, but happy to take ownership of your own areas.

Based in Reading, with hybrid working Some travel and early starts/late finishes required around event days, and some overnight stays.

The Megabuyte office is conveniently situated next to Reading (Main) station, with easy access via a covered walkway.

Please note that this role is hybrid, with a split of office-based and home working. We currently work three days a week in the office but this can change as determined by the needs of the business. This role is not suitable for remote working.
