Position Overview:
We're looking for an exceptional
Executive Assistant
to directly support our CEO in a pivotal role that goes beyond traditional diary management. This is an exciting opportunity for a seasoned EA who thrives in a fast-paced environment and is looking to grow into a Chief of Staff-style position, acting as a trusted advisor and strategic enabler within the leadership team.
You will play a central part in improving executive efficiency, supporting key projects, and enabling strong communication and coordination across the business. You'll be confident handling sensitive information, making informed decisions, and proactively anticipating the needs of the CEO and senior team.
Key Responsibilities:
Manage complex calendars, arrange meetings (virtual/in-person), and coordinate events
Monitor inboxes, calls and WhatsApp groups for CEO and Directors, ensuring timely follow-up and information sharing
Prepare and proofread reports, internal communications, presentations and company documents
Coordinate agendas, take minutes, and ensure clear action tracking for leadership meetings
Act as liaison between the CEO, internal departments, clients, and external stakeholders
Coordinate travel, accommodation, logistics and personal errands when needed
Maintain CRM systems (e.g., NetSuite, HubSpot, Salesforce), databases and digital filing
Support the CEO with priority initiatives, including ad hoc research, project tracking and strategic planning support
Remind the CEO of upcoming deadlines, priorities, and personal commitments
Champion continuous improvement of executive processes and administrative systems
Event planning and execution
What We're Looking For:
Deonstrable experience in a senior Executive Assistant role
Experience working directly with a CEO, MD, or Director
Professional discretion and emotional intelligence
Excellent written and verbal communication skills
Highly organised with the ability to multitask and manage competing priorities
Naturally proactive and solutions-focused - you'll anticipate needs before they arise
Strong attention to detail and the ability to work with accuracy under pressure
Proficient in Microsoft Office, especially Outlook, Word, Excel and PowerPoint
Comfortable learning and using CRM or workflow systems (e.g. HubSpot, Salesforce, NetSuite)
