Executive Assistant to CEO - Property Investment & Management



Location: Hybrid but must be available to work in our offices when needed based in Leeds (UK-based candidates only)

Hours: Minimum 25 hours per week, with flexibility and scope to increase

Salary: 20-25 per hour (DOE)

Holidays: 20 days + bank holidays pro rata

The Role



We are seeking a highly capable and resourceful Executive Assistant to support our Founder & CEO. This role is pivotal to driving forward business operations, ensuring seamless execution of projects, and enabling the CEO to focus on strategic priorities. You will be working closely with internal teams, external stakeholders, and key partners including solicitors, brokers, and property professionals.

You will also provide executive-level support to our property management operations and liaise directly with our Portfolio Manager to maintain high standards across the estate.

Key Responsibilities



Provide full executive support to the CEO: inbox and diary management, travel bookings, meeting coordination, and task prioritisation. Manage all administrative systems and workflows, including property management platforms and CRM tools. Liaise with property managers, lettings agents, maintenance teams, and contractors to ensure issues are escalated and resolved promptly. Oversee documentation and compliance requirements including inspections, inventories, meter readings, utilities, and ongoing updates to key property KPIs. Track and maintain project timelines and budgets, working closely with project managers to ensure deliverables are met on time and within budget. Coordinate and support legal and financial processes, including liaising with solicitors and lenders, managing documentation, and maintaining records. Making invoice payments, receipts, P&L preparation, and liaising with the bookkeeping team. Maintain high standards of document control and data accuracy across the business. Weekly check-in meetings with the CEO (virtual or in-person), plus ongoing communication and responsiveness to ad hoc needs.

You will need to be proactive, detail-oriented, and solution-focused - the kind of person who gets things done before being asked. You understand the pace and complexity of the property industry and thrive when juggling multiple priorities. You are comfortable in a fast-paced, entrepreneurial environment and always operate with discretion and professionalism.

You'll Need To Have:



Minimum 2 years' experience as an EA or PA, ideally within the property or professional services sector. Strong administration, planning, and project coordination skills. Excellent written and verbal communication. Proven experience in diary and inbox management, travel planning, and stakeholder liaison. Working knowledge of technologies and Microsoft Office (especially Excel), cloud-based software such as Xero and Arthur, and CRM systems. Bookkeeping or financial admin experience (ideal but not essential). Flexibility to handle ad hoc tasks or respond to out-of-hours requests occasionally. High level of integrity, accountability, and initiative. Strong attention to detail
