We are seeking a proactive and detail-orientated Facilities Co-ordinator to join our Real Estate department, working alongside the Asset Management & Facilities team. The primary aspects of this role will be to effectively manage the Facilities Admin Desk, to become a super-user of our CAFM system, Planon, and to provide secondary support to the Facilities Administration Manager, as well as vital administrative support to the rest of the team where required. This role will ensure the seamless management of maintenance jobs in the Village and contribute to the overall efficiency of our operations. It presents a unique opportunity to drive the success of our FM processes through a combination of administrative expertise and technical proficiency.

What you will be doing

  • Overseeing the day-to-day operations of the Facilities Admin Desk, acting as the first point of contact for internal stakeholders and contractors within the business in relation to Facilities, ensuring clear and effective dissemination of information.
  • Assisting the Facilities Administration Manager and the team where required with general administrative tasks, including, but not limited to, proactive management of the IMS filing system, management of formal documentation and processing Change Requests.
  • Contributing to reviews and updates of departmental Standard Operating Procedures (SOPs) and other applicable formal documentation to ensure standards of best practice are upheld.
  • Promoting H&S through system development and management of contractors.
  • Supporting Value Retail\'s ESG (Environment, Social and Government) goals through monitoring and reporting on sustainability metrics where required.

  • Strong attention to detail
  • Excellent communication and interpersonal skills, including written communication
  • Proficient with Microsoft Office and ability to learn new computer systems with ease
  • Proactive, with the ability to set own work agenda and support continual improvement within the department
