We are looking for a highly organised, detail-focused Finance and Admin Support Assistant to join our small and friendly team. This role is essential in supporting the financial operations and administrative efficiency of the business, helping ensure owner accounts are accurate, up to date, and well presented.
The successful candidate will work closely with the Director and wider team, taking ownership of key weekly and monthly tasks that underpin our financial processes.
Key Responsibilities
Supplier Invoice Management:
Post supplier invoices onto Hubdoc.
Match and reconcile supplier invoices in Xero.
Chase up any missing or outstanding invoices.
Owner Account Management:
Charge out cleaning, laundry, and maintenance costs to property owners.
Assist with drafting monthly owner statements.
Compile simple booking and income breakdowns for owners when requested.
Income Monitoring:
Carry out weekly spot-checks of booking income vs bank transactions
Highlight discrepancies or missing payments.
Administrative Support:
Maintain accurate digital records and trackers for financial documentation.
Assist with ad hoc administrative tasks to support smooth monthly processes.
What We're Looking For
Strong attention to detail and accuracy.
Comfortable working with numbers and basic financial systems (training will be provided).
Good IT skills
Organised and able to manage your own workload and priorities.
Professional, clear communicator and willing to pick up the phone.
Ability to work independently but ask for support when needed.
Positive attitude and team spirit - willing to roll up sleeves to help a growing business.
Desirable but Not Essential
Previous experience in bookkeeping, finance admin, or property management/letting industry.
Familiarity with Hubdoc, Xero, or other accounting software.
