Summary
The Fleet Coordinator is responsible for the day-to-day administration, scheduling, and support of the company's fleet operations. This role ensures that vehicles are properly maintained, compliant with regulations, efficiently utilised, and available to meet operational needs. The Fleet Coordinator acts as the central point of communication between drivers, maintenance providers, and internal teams.
Responsibilities
Fleet Administration & Coordination
Maintain up-to-date records of all fleet vehicles, including registrations, insurance, service history, mileage, and asset documentation.
Maintenance & Compliance
Schedule routine servicing, inspections, repairs, and MOTs to minimise downtime.
Ensure all vehicles meet safety, environmental, and regulatory compliance standards.
Manage relationships with external service providers and negotiate repair timelines.
Conduct or support regular fleet audits and vehicle condition checks.
Driver Support & Communication
Act as primary contact for drivers regarding vehicle issues, breakdowns, and availability.
Provide support with accident reporting and claims processing.
Ensure drivers follow company fleet policies, safety guidelines, and legal requirements.
Operational Efficiency
Monitor fuel usage, mileage, and vehicle performance to identify areas for cost savings.
Assist with fleet planning, replacement scheduling, and procurement processes.
Prepare operational reports and KPIs for management review.
Coordinate vehicle assignments, deployment, and rotation to ensure optimal utilisation.
Monitor fleet telematics systems (GPS, tracking, driver behaviour, etc.) and provide daily/weekly reports.
Process fleet-related invoices, fuel card management, and expense tracking.
Skills & Qualifications
Essential
Proven experience in coordination and administration.
Strong organisational and multitasking skills
Proficiency with Microsoft Office (Excel, Word, Outlook).
Excellent communication and problem-solving abilities.
Ability to work under pressure in a fast-paced operational environment.
Desirable
Knowledge of transport regulations (e.g., FORs).
Experience with telematics systems and data analysis.
Full clean driving licence.
