We are seeking a highly motivated and organised Fuels Business Co-ordinator to join our dynamic Fuels business supporting the team across North of England & South West Scotland, based at our CARLISLE FUELS DEPOT. THE JOB
Working closely with the Head of Sales & Procurement and the Depot Supervisors, you will be responsible for:

  • Maintaining accurate stock movement records for daily and weekly in-tank cost tracking.
  • Collaborating with depots to manage stock levels and assist with month-end reconciliations.
  • Overseeing vehicle stock reporting and control.
  • Inputting sales invoices and call-offs using D365.
  • Ensuring accurate data entry to support financial and inventory integrity.
  • Liaising with Credit Control and Finance teams.
  • Partnering with the Sales team to identify and target commercial opportunities.
  • Supporting depot-led outbound sales campaigns to drive growth.
  • Providing day-to-day support to Depot Supervisors and Satellite branches.
  • Assisting with general admin tasks and transport coordination to maximise fleet efficiency.
  • Identifying and implementing process improvements across operations and sales.
  • Supporting the development of SOPs and contribute to key commercial initiatives.
At all times you will adhere to Company and Group policies and procedures, including but not limited to those relating to Safety, Health and Environmental.
In your day to day practices, you will ensure that all relevant legislation and approved codes of practice, are adhered to in respect of ongoing compliance, including but not limited to UFAS, FIAS, & NOPS assurance schemes.

SKILLS, EXPERIENCE AND QUALITIES REQUIRED
Essential
  • Strong Excel skills and a head for numbers
  • Analytical mindset with great attention to detail
  • Confident and competent user of Microsoft applications systems and fully IT literate.
  • Excellent communication and interpersonal skills
  • A team player with a proactive, problem-solving attitude
  • Eagerness to learn and grow within a fast-paced environment
  • Excellent customer service skills, with an appreciation for our customer base.
  • An organised approach to work and able to work using own initiative.
Desirable
  • Knowledge of fuel distribution processes
  • Holds a full UK driving licence.
  • Previous experience of using D365
