Responsible to:



The HR Advisor for line management responsibilities, who reports to the Director of HR and the Bursar & Chief Operating Officer, who has overall responsibility for support staff.

Responsible for:



Undertaking a wide range of administrative tasks to provide effective support to the School's HR function, including recruitment and pre-employment checks. Providing accurate salary information to the Payroll Team in a timely manner and observing confidentiality and GDPR guidelines. Supporting with the upkeep of the Single Central Record.

Main Responsibilities:



Recruitment



1. Adhering to Keeping Children Safe in Education (KCSIE) guidelines when undertaking all relevant pre-employment checks.

2. Inputting pre-employment checks onto the School's HR system and Single Central Record (SCR) accurately and in a time sensitive manner.

3. Assisting the HR Advisor to produce adverts and application packs, which include job descriptions and person specifications.

4. Uploading adverts on a range of suitable platforms, e.g. TES, Indeed etc.

5. Using an application tracking system to monitor applications and provide information to panel members.

6. Undertaking Safer Recruitment training through appropriate training providers.

7. Sitting on interview panels.

Onboarding



8. Updating the School's SCR accurately to ensure the School remains 'inspection ready', by the Independent School's Inspectorate (ISI), at all times.

9. Contacting successful candidates to initiate enhanced DBS checks and to provide them with appropriate staff starter paperwork.

10. Carry out routine ID checks and process starter paperwork following Safer Recruitment guidelines in time for the employee's start date.

11. Providing a warm welcome to staff joining King Edward's School, responding to contractual questions and sharing details about the range of benefits available to them as a KES employee, including the School's pension provision.

Monthly Pay Run



12. Ensuring new staff have completed all appropriate paperwork to support their remuneration within their first pay month.

13. Providing up-to-date and accurate information to the Payroll Team to support colleagues leaving the School and/or changes in pay, e.g., salary increase or a reduction in contracted hours or change of circumstances.

14. Working with the Payroll Team to ensure that staff accessing family leave, or off work unwell are paid correctly and in line with School policy.

15. Responding to general questions from staff regarding their pay and/or holiday entitlement.

HR Lifecycle



16. Supporting the HR Department administratively, including all stages of the recruitment, employment changes, and leaver processing.

17. Maintaining accurate information on HR trackers as directed by the HR Advisor.

18. Processing information regarding staff absences, in line with the School's Absence Management Policies and providing information to the line manager to enable them to carry out RTW interviews.

General Duties



19. Filing, photocopying, making and receiving calls, organising meetings, taking minutes of meetings and supporting the HR Advisor to keep the Staff Handbook updated.

20. Raising any concerns regarding safeguarding or employment issues with the appropriate senior members of staff as soon as they arise.

21. Maintaining employee records (electronic and paper) and processing personal and sensitive information in accordance with Data Protection Act 2018 including the Generate Data Protection Regulations (GDPR) 2018.

22. Any other duty as deemed reasonable by the HR Advisor or Director of HR. This may include, from time to time, supporting the school with other administrative tasks.

A willingness to respond supportively to changing circumstances and/or the changing needs of the School is part of working in a school environment and is expected of the postholder.

Pension Scheme



If eligible, you will be automatically enrolled into the School's Support Staff Personal Pension Scheme with an employer's contribution of 6% of salary, to be matched by a 2% employee contribution.

All appointments are made subject to satisfactory DBS clearance. The suitability of all prospective employees or volunteers will be assessed during the recruitment process in line with this commitment

Safeguarding



All staff are in a position of trust and have a duty to keep children and young people safe and to protect them from neglect and physical and emotional harm. This duty is in part exercised through the development of respectful caring and professional relationships between staff, children, and young people. Staff are expected to be familiar with the local child protection arrangements and understand their responsibilities in order to safeguard and protect children and young people.

Person Specification



Qualifications



GCSE A- C in English and Maths (or equivalent)
Higher Education

CIPD Level 3

Safer Recruitment and/or Safeguarding Training

Knowledge and Experience



A minimum of 3 years' experience providing a range of administrative supports within a busy work environment

Proficient within spreadsheets, MS Excel, Word, Outlook, OneDrive and SharePoint

Experience of working within an environment handling confidential information

Experience of working within an education setting

Personal Qualities



Be discrete and possess a clear understanding of the need for confidentiality

Effective communication skills with a range of stakeholders

Organised and delivery focussed approach to tasks with the ability to work to tight deadlines

Ability to demonstrate close attention to detail
