Overview


We are seeking a dedicated and detail-oriented Human Resources Administrator to join our team for a period of 12 weeks. This role is essential in supporting the HR function and ensuring the smooth operation of our human resources department. The ideal candidate will possess strong communication skills and a solid understanding of HRIS systems, as well as experience with data entry and administrative tasks.

Responsibilities



Shared HR Inbox Management:



Monitor and manage the shared HR inbox, ensuring timely responses to employee inquiries and requests. Prioritise and escalate urgent matters to the appropriate HR team members

Absence Tracking:



Maintain accurate records of employee absences, including sickness, holidays, and other leave types on the HRIS system and logs. Communicate employee absence from work to relevant managers/supervisors, including providing absence history where an absence stage has been triggered Review and file return to work documents, ensuring any follow on meetings are arranged as required. Update the absence log, recording any outstanding absence disciplinary actions and follow up on missing return to work documentation as required. Generate absence reports and provide data analysis to support absence management initiatives.

General HR Administration:



Preparation and distribution of HR-related documents, such as contracts, change to terms and conditions letters, absence and disciplinary letters, and outcome letters. Maintain and update employee records, ensuring data accuracy and confidentiality. Coordinate and schedule interviews, meetings, and training sessions as required. Confirm resignations in writing and initiate and track exit processes, update HRIS system. Manage occupational health screening ensuring tracker in place and meetings are conducted annually, escalate any issues to HR Advisor accordingly. Support with providing KPI's as required

Scanning HR Documentation:



Scan and electronically file HR documents, ensuring proper organisation and accessibility. Maintain a systematic approach to document management and archiving.

Updating HRIS:



Regularly update the HRIS with employee information, changes, and other relevant data. Ensure data integrity and accuracy within the HRIS.

Agency Audits:



Support with regular audits of agency workers to ensure compliance with company policies and legal requirements. Liaise with recruitment agencies to address any discrepancies or issues.

Right to Work Checks:



Perform right to work checks for all new hires and ensure ongoing compliance for existing employees. Maintain accurate records of right to work documentation and follow up on any expirations or renewals. Regularly check the weekly agency list against share codes, addressing any discrepancies promptly

Employee Relations:



Support with less complex ER meetings such as absence investigation meetings and wellbeing meetings. Escalate to the appropriate HR Team member where required.

Payroll



Provide payroll support and complete payroll routines in the absence of the Payroll Assistant.
Any other ad hoc duties as they arise to support HR operations effectively.

Experience



Proven experience in human resources or a related administrative role is preferred. Familiarity with HRIS systems such as People XD is advantageous. Strong communication skills, both written and verbal, are essential for effective collaboration within the team. Experience in data entry with a high level of accuracy is required. Ability to handle sensitive information with confidentiality and professionalism.
