Harbour Rise is a lovely family-owned Care Home in Paignton. Harbour Rise is rated 'Outstanding' with the Care Quality Commission (CQC), this is a fantastic rating and that is due to the wonderful staff we have at our home, many of whom have been at the home many years.

We are looking for an Office Coordinator 5 days a week.

Skills Required:

A team player with a friendly, positive attitude Flexibility and able to assist with all aspects of office duties, from support with wages to dealing with enquiries, audits, etc... Excellent telephone manner, communication and interpersonal skills. Need to have empathy to deal with sad family situations. Excellent IT skills, familiar with MS Office such as Word, Outlook and Excel. Ability to show initiative and work within a team. Strong organisational skills and the ability to manage own workload in a timely manner. Basic knowledge of using social media, uploading photos and videos, ensuring this and our website is regularly updated. Ability to build and maintain strong relationships with professionals, families, residents and colleagues. Ability to maintain confidentiality of sensitive employee information.
Main Responsibilities:

- Being the first point of contact, responding in a timely manner to all enquiries via telephone, email and face to face, and dealing with enquiries for our residential home, and day care centre.

- Support the office coordinators within office responsibilities such as taking meeting minutes, scanning, printing, ordering office equipment.

- Support the management team with maintaining a master audit, scheduling maintenance events, appointments, etc.

o Learn how to use Planday which is a software system that manages staff rota, holiday and wages. Prepare payroll information for employees accurately and in a timely manner, this information is to be sent out for payroll to be completed - Maintain accurate payroll and absence records. Respond to employee inquiries regarding payroll matters
Prepare holiday/absence reports for management as needed

o Stay up-to-date with changes in payroll regulations and best practices

o Scheduling regular meetings and producing the minutes

o Drawing up contracts, invoices and issuing refunds.

o Track and record payments in, ensuring these are received in a prompt manner, chasing any overdue.

- Understanding how the Day Care Centre works to be able to support day care coordinator

- Issue and track contracts ensuring all relevant paperwork is returned, filed, and regularly updated.

- Liaise with and book entertainment for a monthly published activity schedule.

- Conducting viewings, presenting the home in a positive light at all times.

Hours:

- The hours would be Full time across the week, with an extra Saturday per month - more details to be provided at interview.
