Job Summary
The Role: Operations & Admin Assistant
This is a full-time, office-based role supporting day-to-day operations, finance, and administration. As a key member of our team, you'll play an integral part in ensuring the smooth, accurate, and timely management of orders and internal processes.
Key Responsibilities:
Providing general administrative support including manual filing, managing systems and spreadsheets and generally keeping things organised
Processing customer orders via email and phone, with accuracy and care
Handling customer queries with professionalism and warmth
Assisting with finance tasks such as invoicing, expenses, and supplier coordination
Supporting the operations and warehouse teams with logistics, stock, and process coordination
Preparing and filing customs paperwork for incoming & outgoing shipments
Stepping in to cover team holidays and absences, ensuring continuity across roles
Acting as a flexible point of contact across departments, ready to assist wherever needed
What We're Looking For
Adaptable and reactive: you're quick to respond and happy to pivot when priorities shift
Calm under pressure: you bring clarity and composure, even when things get hectic
Organised and detail-oriented, with a proactive mindset
Friendly, approachable, and confident in both written and in-person communication across teams and with customers
Previous experience in admin, office support, operations or customer service is helpful but not essential
Strong computer skills: comfortable using spreadsheets, email platforms, and learning new systems.

A permanent, full-time role based in our Aberdeen office
8:30am - 5:00pm, Monday to Friday
29 days holiday, including bank holidays
