Role Overview
We are seeking a highly organised and tech-savvy Operations & Marketing Systems Coordinator to support the smooth running of our business. This role bridges operations, marketing systems, and team support, ensuring our sales agents and director can operate efficiently.
The ideal candidate will have CRM and systems experience (GoHighLevel preferred, but strong CRM/automation experience in alternatives such as HubSpot, Salesforce, Zoho, etc. will be considered). We are looking for someone with a systems mindset, the ability to structure processes, set up logical automations, and keep pipelines clean.
Key Responsibilities
CRM & Marketing Automation
Manage and maintain GoHighLevel CRM & pipelines, ensuring leads are correctly tracked and progressed.
Build and optimise automations, workflows, and campaigns to support lead nurturing and sales.
Monitor campaign performance and provide reports to the Director.
Property Advertising (Zoopla & Rightmove)
Create, manage, and optimise property ads on Zoopla and Rightmove.
Track ad performance and make recommendations to maximise ROI.
Coordinate with the sales team to ensure listings are accurate, compelling, and up-to-date.
Operational Support
Provide direct support to the Director, helping streamline daily operations.
Assist sales agents with administrative and coordination tasks.
Prepare reports, schedules, and documents to aid decision-making.
Knowledge Hub & Task Management (Notion)
Maintain and update the company's Notion workspace as a central knowledge hub.
Organise processes, templates, and documentation for easy team access.
Oversee task management, ensuring accountability and progress tracking across the team.
Requirements
Proven experience with CRM systems (GoHighLevel preferred; HubSpot, Salesforce, Zoho, or similar acceptable).
Demonstrated ability to build automations, workflows, or logic-based systems (e.g. advanced Excel, Zapier, or CRM automations).
Strong organisational and administrative skills with attention to detail.
Experience managing Notion (databases, knowledge hubs, task tracking) or similar tools.
Excellent communication skills and ability to support multiple stakeholders.
Proactive, solution-oriented, and comfortable working in a fast-paced environment.
Nice-to-Have
Previous experience in property sales, marketing, or operations.
Knowledge of real estate CRM best practices.
Experience with performance reporting and KPI dashboards.
