Job Summary
The Role
The People & Education Administrator will:
Respond to People and Education-related queries via phone, face to face, Teams and email, providing accurate information with reference to policies and agreed processes and procedures, signposting to relevant team members as needed
Maintain awareness and understanding of hospice People policies and procedures, signposting and providing information or clarification and escalating to colleagues when required
Administer maternity, paternity, adoption and shared parental leave processes
Ensure all employee and volunteer professional registration details are current and up-to-date
Collate and submit all payroll information to the Payroll Manager in line with agreed monthly schedule
Support recruitment activity by:
- Posting job adverts on relevant platforms.
- Liaising with candidates once offers are made to coordinate the completion of pre-employment checks.
- Ensuring all required documentation is completed before notifying managers to arrange start dates.
Prepare and issue offer letters, contracts of employment and volunteer agreements
Process all pre-employment and pre-volunteering checks, including Right to Work, DBS, Occupational Health and Reference checks
Process leavers' files and documentation and update records accordingly
Maintain accurate and up-to-date People and Education records in the People database and applicable electronic files for employees and volunteers
Provide administrative support for all departmental projects, initiatives and other activities as directed.
Co-ordinate administration for external Education, organisational induction, Clinical and Non-Clinical education, including safeguarding training
Arrange external and internal bookings for education events.
Support the development and set up of employee and volunteer learning activities on the Learning Management System (LMS)
Generate reports on eLearning and Mandatory Training
Co-ordinate student placements, under the guidance of the Education and Development Manager
Contribute to continuous improvement by reflecting and researching
Requirements
The People & Education Administrator will have:
A good standard of general education to a minimum of GCSE grade C / 4 - A / 9 Proven administrative experience in a busy, fast-paced office environment
Experience supporting HR and/or Training administration
The ability to travel to our two hospice sites
The People & Education Administrator will be able to:
Demonstrate a high level of accuracy and excellent attention to detail
Organise and prioritise workload effectively to meet deadlines
Communicate confidently and professionally, both verbally and in writing with a variety of stakeholders
Work independently using initiative, as well as collaboratively within a team
Handle sensitive information with discretion and maintain confidentiality
Demonstrate proficient use of Microsoft 365applications, particularly Outlook, Word, Excel (beginner level)
Use or learn HR systems such as Ciphr People
Demonstrate a willingness to develop IT and digital skills to support organisational objectives
Work proactively and adapt to changing priorities and demands
Embrace change and actively seek opportunities to improve processes

The successful candidate will be subject to a Standard/Enhanced DBS Check, the cost of which is covered by the hospice. Any post holder within the organisation will be expected to undertake safeguarding training appropriate to their role and adhere to safeguarding policies and procedures. All staff must work in accordance with their statutory roles and responsibilities in relation to safeguarding in accordance with the Working Together to Safeguarding Children 2023, The Care Act 2014, and Prevent Duty 2015.
