Overview
A Personal Assistant (PA) to the Managing Director of a law firm provides high-level administrative and organisational support, ensuring the efficient running of the Managing Director's office and facilitating smooth operations across the firm. The role demands professionalism, discretion, and a strong understanding of both legal and business environments. Mostly remote, some attendance required for team away days.
Key Responsibilities:
- Proactively manage the Managing Director's complex and dynamic calendar, including scheduling meetings, court dates, and appointments.
- Handle all correspondence, phone calls, and emails on behalf of the Managing Director, ensuring timely and appropriate responses.
- Organise and coordinate meetings, including preparing agendas, taking minutes, and ensuring all necessary documentation is available.
- Arrange detailed travel itineraries, accommodation, and logistics for business trips, including international travel when required.
- Prepare, proofread, and manage legal and business documents, presentations, and reports, ensuring accuracy and confidentiality.
- Liaise with internal departments, clients, and external stakeholders, representing the Managing Director in a professional manner.
- Maintain confidential records and files, handling sensitive information with the utmost discretion.
- Conduct research, gather information, and prepare briefings or background materials as needed.
- Assist with project management, event planning, and other ad hoc administrative tasks to support the Managing Director's objectives.
- Monitor office supplies and coordinate with administrative staff to support the Managing Director's office operations.
Skills and Qualifications
- Ideal bot not required: experience as a Personal Assistant or Executive Assistant, within a legal or professional services environment.
- Exceptional organisational and time management skills, with the ability to manage competing priorities under pressure.
- Excellent written and verbal communication abilities.
- High level of discretion and ability to handle confidential and sensitive information.
- Strong proficiency in Microsoft Office Suite and legal document management systems.
- Professional, proactive, and adaptable approach to work.
- No prior experience required
