The Project Administrator (PAd) is required to assist the Project Managers to deliver their projects to the Client successfully, on time and within budget.
The PAd is required to support all the activities of the project team and, working directly for the Project Manager, will take responsibility for managing the flow of information / documentation between Glantre and the Contractors we work for. This will require familiarity with the various online portals used by Main Contractors e.g. Procore, Aconex, etc. The PAd will be required to place orders with suppliers, make travel arrangements for team members, organise delivery and shipping documentation, arrange transport of materials and undertake all the general administrative tasks of a project.
In addition to undertaking the administration of the project team, the PAd may be required to assist the Office Manager with general administration tasks, data entry, general procurement, etc. and the Proposals Manager preparing tender documentation, etc. from time to time.
Key responsibilities and accountabilities:
Design Phase:
Managing incoming and outgoing drawings / design information through the online portals
Facilitating meetings
Supporting the project team in preparation of technical submissions
Procurement Phase:
Preparing purchase orders under the guidance of the Engineers and Project Manager.
Liaising with suppliers and tracking the procurement activities of the project team
Construction Phase:
Preparation of ongoing project documentation
Arranging travel and accommodation for engineering staff and installation personnel
Assisting the Project Manager in arranging delivery of materials (including shipping / documentation for overseas projects)
Tracking and reporting the activities of onsite installation teams / work
Assisting the Project Manager with any administrative tasks related to the project
General Duties
Attend training as agreed by the company to develop relevant knowledge and skills.
Assisting the Office Manager with general administration tasks as required
Assisting the Proposals Manager with preparation of supporting tender information
Required skills / attributes:
Excellent organisational skills
Experience of administration in a construction environment
Excellent verbal and written communication skills
Ability to understand instructions and prepare documentation with attention to detail
Good grasp of Microsoft Office (Outlook / Excel / Word)
Willingness to learn new skills and get stuck into administrative tasks
Desirable skills / experience
Interest in or knowledge of theatre or event productions.
