Job Summary



Locit Ltd is the leading "to trade" manufacturer of lockers and cloakroom equipment solutions.



We are seeking an experienced Sales Office Manager to manage our Locker Order Processing and direct customer service enquiries.



The successful candidate will possess a "can do" attitude to overcoming the inevitable practical challenges that come with dealing with customers having a mix of technical understanding of the products that we sell: the successful candidate will need to be an excellent communicator.



The role is office based with an expectation that the successful candidate will take a prominent role in meetings with visiting customers.



Key Responsibilities



Manage the day-to-day workload of Order Entry and Sales Co-Ordinator colleagues to achieve the efficient through flow of orders.



Receipt of all PO's into the company (primarily e-mail), print out all relevant documents and locate related quotations to be read in conjunction with PO.



All Orders over 5k: liaise with Finance team on Customer Account status and credit-worthiness.



Processible Orders: identify production/delivery date and distribute to order processing. Check processed orders. Liaise with colleagues as necessary to make them aware of the project (eg installation, special items needed to complete the order).



Pro-Forma Orders: ensure all pro-formas are copied to external sales who are primarily responsible for chasing payment so that these are converted to full orders.



Non-processible orders: liaise with customer, external sales colleagues and manufacturing as necessary to clarify outstanding points (which might require revised quotations being accepted before the order can be processed). Move all such orders to Processible Orders as quickly as possible.



Refer non-order email enquiries to sales colleagues as appropriate.



Provide (reactive) telephone advice to customers, referring matters on to sales colleagues as necessary.



Attend to order progress calls into the Sales Office and deal with resolution accordingly.



Deal with customer price disputes, involving external sales colleagues as necessary.



Assess requests for credit notes and provide level 1 approval where appropriate.



. Provide daily and weekly reports and additional statistical feedback as required by the Managing and Financial Directors.



Other ad-hoc sales related duties in support of the Managing and Financial Directors.



Skills & Experience:



Proven experience in Sales Office Management, ideally within a similar/related field.



Strong people management skills, with the ability to identify time critical priorities in a busy working environment [and an ability to manage multiple projects simultaneously]



Excellent communication skills with a recognition of the need to find a quick and effective way of getting answers so orders can be processed.



Practical analytical approach to problem solving in real time to ensure customer issues can be quickly resolved



Ability to manage and motivate and develop the sales office team, ensuring high performance and customer satisfaction.
