The School Secretary is a vital administrative professional responsible for managing daily office operations, providing exceptional customer service, and supporting school staff and visitors. This role requires strong organizational skills, proficiency in office management tools, and the ability to handle multiple tasks efficiently. The ideal candidate will be bilingual, tech-savvy, and experienced in clerical and administrative functions within an educational environment.
Duties
Serve as the first point of contact at the front desk, greeting visitors and answering inquiries with professional phone etiquette
Manage multi-line phone systems, direct calls, and take accurate messages
Maintain student and staff records through data entry, filing, and record keeping using Microsoft Office, Google Workspace, and other relevant software
Schedule appointments, manage calendars, and coordinate meetings for school administrators
Handle correspondence, proofread documents, and prepare reports with attention to detail
Process payments and manage bookkeeping tasks using QuickBooks or similar accounting software
Support office management tasks including supply inventory, filing systems, and document organization
Assist with medical or dental receptionist duties as needed for student health services
Provide customer support to parents, students, staff, and visitors by addressing questions promptly and professionally
Perform clerical duties such as typing, proofreading, and maintaining accurate records to ensure smooth office operations
Experience
Prior office management or administrative experience in an educational or medical setting preferred
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets, Calendar), and data entry skills
Experience with front desk operations and multi-line phone systems essential
Bilingual abilities highly desirable to effectively communicate with diverse populations
Familiarity with QuickBooks or bookkeeping software is a plus
Strong organizational skills with the ability to prioritize tasks efficiently
Excellent customer service skills coupled with professional phone etiquette
Office experience including filing, proofreading, calendar management, and handling confidential information is preferred
Personal assistant or medical receptionist experience beneficial for supporting school administration

Pay: 23,224.00-27,160.00 per year
