Office Administrator / Administrative Assistant. This is a temporary, 6-month fixed-term contract designed to contribute to the smooth and efficient operation of the council's office. You will provide vital administrative support to the Parish Clerk and their deputy, serving as a primary point of contact for both Parish Councillors and members of the public.
Salary & Hours
Salary: NJC Grade E SCP 6 - currently 25,183 (based on 2024/2025 rates).
Hours of Work: 37 hours per week, with very occasional weekend work required.
Welcoming visitors and managing all forms of correspondence, including telephone calls, emails, letters, and packages.
Coordinating meetings and appointments.
Managing online hall bookings and incoming planning applications as needed.
Ordering office stationery and consumables, and ensuring office equipment is in good working order.
Maintaining comprehensive electronic and manual filing systems for parish data.
Assisting with bookkeeping tasks, such as processing incoming and outgoing invoices, and handling incoming monies at the counter.
Supporting the publication of parish activities on social media platforms.
Providing excellent customer service, including offering information and advice to the public and parish councillors.
Administering routine planning applications and related issues.
Education: A good standard of literacy and numeracy, educated to GCSE level or equivalent, with a minimum Grade 4 in English and Maths.
IT Proficiency: Highly IT literate, particularly with Google Workspace, Windows, and Microsoft applications.
Administrative Acumen: Sound knowledge of administrative procedures.
Communication: Excellent communication skills, both written and verbal.
Customer Service: Experience in public relations and customer service.
Organisational Skills: Strong organisational and time management skills, including the ability to prioritise workloads, set personal deadlines, and work efficiently under pressure.
Attention to Detail: Strong attention to detail and accuracy.
Problem-Solving: Quick-learning and critical thinking skills.
Teamwork & Independence: Ability to work both independently and collaboratively as part of a team.
Professionalism: Able to act with discretion and recognise the need for confidentiality; capable of building and developing positive relationships and demonstrating good people skills.

Knowledge of the areas that make up the Parish of Hound, including Netley and Butlocks Heath.
Experience with website maintenance and using various platforms to create and update content on social media.
A good understanding of issues facing parish councils and their operational environment.
Ability to act with initiative and imagination when circumstances demand, deal with several different strands of enquiry concurrently, and problem-solve effectively.
