Job Description

Nestled in Haverfordwest's historic Quay Street and Riverside quarter, HaverHub C.I.C. occupying the old town Post Office building, is a dynamic and successful regeneration project firmly rooted in its town centre community. We are a not-for-profit social enterprise, set up in 2019 to create a diverse venue for locals to meet, work, socialise and share talent.

Main Purpose of Role


This is a varied and exciting role for a suitably experienced, ambitious and dynamic Venue Manager to build on our past successes, ensuring continued development across a range of events, projects and initiatives.

You will have responsibility for the management of the venue and leading a dedicated team in its operations, marketing, events, financial overview and compliance.

Duties and Responsibilities



Oversee Venue Operations



Have a thorough understanding of all aspects of the venue's operations, ensuring that HaverHub runs smoothly and efficiently, including front of house and behind the scenes operations. Organise and run the office both administratively and as a main point of contact for the general public.

Cultivate and Manage Relationships



Maintain and cultivate good relationships within the Haverhub CIC hub team and all stakeholders. Contribute to developing Haverhub CIC's stakeholder relationships across different businesses, business partnerships and community sectors, in particular the cafe and work hub within HaverHub CIC.

Managing Employees



Act as the main contact and Line Manager for all operational team members and build a strong and effective hub team by effectively managing all in-house employees, including:

Events and Volunteer Coordinator Site Technician Site Manager (caretaker) and Keyholder Cleaning Staff, Casual Bar Staff and Security staff
Management of team members will include:

delegating and supervising work, where appropriate. coordinating and scheduling staff work rotas sufficiently in advance to support the team in their roles and ensure the smooth running of HaverHub CIC. ensuring that records for hours worked, T.O.I.L. and holidays are kept up to date. liaising with the Events and Volunteer coordinator to ensure that volunteers are serving the needs of HaverHub CIC. maintaining a commercially successful venue by motivating hub team members to deliver excellent customer service. logging and dealing with conduct issues in respect of members of the hub team, using procedures and processes agreed in the HaverHub CIC Company Handbook. liaising with the safeguarding lead for HaverHub CIC to ensure that safe working practices are adhered to.

HR and Staff Development



Advertise vacancies as directed by HaverHub CIC Human Resource Committee and/or Board of Directors. Onboard new team members, including regulatory checks. Report to the HaverHub CIC Board of Directors on new employee performance during their probationary period. Identify training and development needs for the hub team e.g. general principles of customer service, specific skills for roles, regulatory training etc. Liaise with HaverHub CIC Board of Directors to organise agreed training and development. Lead Haverhub CIC's Performance Management programme for the hub team, inclusive of annual target-setting and regular supervision meetings with hub team members.

Overall Responsibility for Bookings & Events



Plan and lead in collaboration with the Events and Volunteer Coordinator and Site Technician all aspects of an event from pre-planning, determining resources required, pre-event marketing and on-site coordination to post-event follow up. Flexibility is required to develop, plan and execute a variety of both daytime and evening events and projects. Work with and effectively line manage the Events and Volunteer Coordinator to ensure a diverse, cross-generational calendar of community activities and attractions. Negotiating contracts with vendors, performers and artists, and overseeing the provision of services for external bookings. Maintaining and managing event budgets. Liaising with the Event and Volunteer Coordinator, to ensure appropriate volunteer support for all events and projects. Lead and plan all marketing for the hub and its events, across digital, web and print platforms.

Health and Safety



Ensure that HaverHub is compliant with health and safety legislation by:

arranging or carrying out regular risk assessments maintaining health and safety records liaising with HaverHub CIC Board of Directors to ensure Health and Safety training of all operational employees is up to date logging and reporting and/or investigating any incidents and/or accidents on the premises and liaising with HaverHub CIC Board of Directors to organise remedial measures, followed by preventative steps to mitigate recurrence.

Legal Compliance and Compliance with Industry Regulations



Have a thorough understanding of legal requirements and industry regulations,1 and adhere to these alongside Haverhub CIC's venue procedures and processes including but not limited to:

Right-to-work checks. Dignity at Work (Anti-bullying; Anti-discrimination etc.). Equality and Diversity practices. Health and Safety (fire safety, risk assessments, risk registers, noise levels, capacity, licensing, disability access etc.). GDPR and Freedom of Information. Safeguarding of young people and vulnerable adults.

Maintenance and Repairs



Facilitate maintenance of the premises by liaising with HaverHub CIC's Board of Directors and the hub team.

Commercial and Financial Awareness



Monitor expenditure and manage allocated budgets to run the venue efficiently. Liaise with bookkeeper and Finance Director as necessary in respect of budgets and spending.

Developing Strategy



Develop and implement organisational strategy as outlined in the HaverHub CIC's purpose.

Dealing with Unforeseen Issues



Lead on emergency problem-solving with support from with HaverHub CIC Board of Directors where necessary, which may include urgent issues outside of normal working hours.

General



Flexibility is required to develop, plan and execute a variety of both daytime and evening events and projects. Act as the Duty Manager for events and bookings, as required, helping to cover a calendar of events across daytime and evenings 7-days a week. Ensure adherence to HaverHub's Safeguarding, Health and Safety and other relevant policies and procedures at all times. Deal with unforeseen circumstances, issues and problems and deal with them effectively, seeking support from Board Directors where appropriate. This may involve dealing with issues outside of normal working hours. Undertake any other reasonable duties, that may not be explicitly outlined in this job description, at the request of Line Manager/Board of Directors

Person Specification



We are looking for someone to lead HaverHub from the front, with an approachable, warm and positive attitude to your work. You must have the confidence and flexibility to adapt to, and reflect, HaverHub's needs and the diverse demands of the role. You need to be creative, dynamic, hardworking and disciplined, willing to take risks, and committed to building trust and confidence with all stakeholders. You will be tenacious and willing to challenge, question and make decisions.

To excel in this role, you will need:



Experience of running a venue, ideally a community focussed venue - although experience of arts, music or events venues would also be useful. Experience of managing a small team, and working with volunteers. Supported by wider knowledge of the importance of volunteering and it's benefits. To be a great communicator, able to build productive relationships with a wide range of people. Marketing and/or PR experience, to effectively promote the venue and its activities. To have experience in making things happen - managing a team and organising events, projects or programmes in the arts, music, community or voluntary sector. To have excellent organisational skills and the ability to keep things on track. To understand the commercial aspects of running an organisation, and understand the importance of maintaining profitability. Budgeting experience, and an understanding of financial principles. The ability to communicate confidently and effectively, whilst being able to deal with challenging situations in a professional manner. Good record keeping, and responsible with managing budgets and money. To delegate efficiently and share information effectively. To be reflective in the way you work and how you work with others, finding effective ways to understand the difference you are making and seek to consistently learn, develop and adapt. The ability to cope with change and adapt plans, if need, to fit the needs of HaverHub. As well the ability to deal with challenging situations and reach favourable resolutions. The ability to make difficult decisions, and professionally explain these where needed. To understand the need for safeguarding volunteers, staff and community members as and when appropriate. The ability to inspire people to get involved, removing barriers where possible. Experience of developing and applying risk assessments, ensuring health and safety plans are developed and put into practice. Strong IT skills - ideally experienced with Google Workspace and WordPress.
