Our warehouse operations ensure smooth material availability while safeguarding product integrity and safety.

Job Purpose

To provide reliable warehouse administration in support of production, logistics, and quality compliance within a regulated fragrance manufacturing environment. You'll oversee accurate inventory control, coordinate order movements, manage chemical safety documentation, and assist with regulatory and quality systems necessary for perfume production.

Key Responsibilities

Inventory & Batch Control

Maintain and update stock levels of raw materials (alcohols, bases, aromatic compounds) and finished goods using ERP or WMS systems, including batch numbers, expiry dates, lot traceability, and temperature/humidity storage logs (per COSHH & GMP standards). Conduct regular cycle counts, physical audits, and support full stocktakes to maintain accuracy. Investigate any stock discrepancies and report to the warehouse management team any such occurrences Provide daily exception reports for stock, purchase order, and production order discrepancies Monitor and report outside warehouse stock levels
Material Handling & Safety

Monitor safe storage of hazardous and flammable materials in line with COSHH, DSEAR, and CLP regulations (e.g. flammable alcohols limited to 50?L in fire-resistant cabinets; segregation of incompatibles: acids, organics, oxidisers) Ensure accessible Safety Data Sheets (SDS) and containers are clearly labelled and batchcoded; coordinate with QA and EHS for spill-response, risk assessments, and waste disposal.
Order Processing & Logistics

Prepare picking/packing documentation, delivery notes, and export paperwork to align with customer requirements and hazardous goods regulations (e.g. ADR/IMDG). Liaise with suppliers (e.g. aroma suppliers like Givaudan, Firmenich) and logistics carriers for inbound taste samples and finished product dispatch; validate chassis weights, transport compliance, and special temperature control requirements.
Compliance & Documentation

Assist QA/QC by verifying batch documentation accompanies outward movements and that Traceability Reports are production ready Help maintain ISO?22716-compliant (cosmetic GMP) operational procedures, SOPs, and provide support during internal/external audits.
Reporting & Continuous Improvement

Generate regular KPI and variance reports (e.g. inventory shrinkage, SKU turnover rates). Propose process improvements: optimisation of warehouse layout (racking, temperature zones), data accuracy workflows, order-to-production systems integrations.
Essential Skills & Experience

Requirement

Industry Experience

Minimum 1-3 years in warehouse or inventory administration, preferably within cosmetics, fragrances, chemicals or regulated manufacturing settings.

Technical Skills

Proficient in MS Excel (pivot tables, data validation) and experience with WMS/ERP systems such as SAP, NetSuite, or Oracle

Regulatory Knowledge

Familiarity with hazardous materials compliance (COSHH, DSEAR, REACH) in a warehouse context.

Detail & Accuracy

Strong record-keeping skills, including batch & expiry tracking; ability to detect and correct discrepancies

Communication

Clear written and verbal skills--liaising across EHS, QA, production, procurement and carriers

Safety Awareness

Capable of identifying chemical hazards, enforcing safe storage protocols and contributing to risk assessments

Desirable Qualifications & Licences

Forklift licence (counterbalance or reach) and hands-on experience with warehouse racking operations. ISO?22716, Lean Six Sigma, or routinely followed Good Manufacturing Practice (GMP) training. Basic knowledge of cosmetic regulatory labelling requirements (e.g. CLP markings, INCI labelling codes on perfume products).
Education

Minimum: GCSEs or equivalent (including Maths and English).
Working Conditions & Remuneration

Full-time permanent role in a manufacturing warehouse; typically Monday-Friday, with occasional early/late starts for inbound/outbound coordination. Salary Range: 26,000?-?28,000 per annum (depending on experience, qualifications, and regional location)
